Overview

What AccountantOS is, the core concepts, and how the modules connect.

What AccountantOS is

AccountantOS is the layer above your ledgers and filing tools: one system where the practice’s clients, work, documents, numbers and conversations live together. Xero stays your ledger and Companies House stays the register — AccountantOS is where a practice runs the job: who’s doing what, what’s due, what arrived in the post, and what the numbers say this month.

Every module shares the same clients, the same people and the same permissions, so nothing is typed twice and nothing lives in the gaps between tools.

NoteAccountantOS is in private beta. Modules and screenshots in these docs match the current product; where something is planned rather than live, it is marked as planned.

Core concepts

The practice. Your firm — its team, its settings, its book of clients. Everything in AccountantOS belongs to exactly one practice.

Clients. The companies and individuals you act for. Each client carries its own tasks, bills, files, financials and record. Clients can be created by hand or ingested from Companies House.

Practice users and client users. Your team sees the whole practice side; a client’s own people can be invited too, and they see only their own company — never the practice band, never another client. See Users, roles & client access.

The company selector. The switcher in the rail decides scope, not subject: pick a client and every page shows that client’s slice; pick All Clients and the same pages widen to the whole book. You stay where you were — switching client is a change of scope, not a navigation.

Work band vs Practice band. The sidebar has two bands. Work is per-client (Today, Tasks, Bills, Financials, Files…); Practice is across the book (Clients, Prospects, Proposals, Contacts, AML, Automations) and only practice users see it.

The module map

  • Today & Calendar — the morning triage view and the practice diary.
  • Client profile — the record: registered details, vault, AI summary.
  • Knowledge base — chat, log, tables and vault, with Teams/Slack relayed.
  • Tasks — the work queue, approvals and statutory deadlines.
  • Bills & AP — inbox to coded Xero purchase invoice.
  • Payroll — the Staffology-synced register.
  • Financials — management accounts, versions, exports.
  • Files & approvals — per-client folders, sign-off on both sides.
  • Proposals & engagement — e-sign, mandate, then the ongoing plan.
  • Clients, prospects & contacts — the book, the pipeline, the audience.
  • AML / CTF — subjects, checks, monitoring.
  • Automations — rules that do the routine work.

How it connects to your systems

Seven integrations, all live: Xero, Microsoft 365, Companies House, Staffology, Teams and Slack, and Sumsub for AML — plus AI used inside the product for bill extraction, client summaries and automation drafting. The full detail, including what each connection can and cannot do, is on Integrations.

Finding your way

⌘K (or Ctrl-K) opens global search from anywhere — clients, tasks, bills, pages. The client switcher keeps your pinned and recent clients one click away, and the brass counts in the rail show open work (overdue tasks, bills waiting) per area.
